Creating and publishing an event

This walkthrough takes you from creating a new Event to publishing it, ready to share with your audience. It covers the essentials — for deeper detail on any one area, follow the links to the relevant how-to guide.

1. Create the event

Your events list — click New Event to get started
  1. Navigate to  Events and click New Event.
  2. Give your event a title.
  3. Set the scheduled start date, duration, and timezone. Once entered, an encoder selector appears — choose the encoder your live stream will come from.
  4. Click Add Event.

You'll need at least one encoder configured on your account before you can schedule a live event. If none are available, contact Customer Success and they'll help you set one up.

Your event is created as a draft and opens on its Content tab. Nothing is visible to viewers until you publish.

2. Add your event details

Click Customise in the Design tab to open the Customise Event editor, then fill in the Event Details panel:

  • Display Title — the title shown to viewers (defaults to the event title)
  • Summary — the main description of your event, shown to viewers
  • Documents — any downloadable files for your event (see Adding event content)
  • Calendar Invite — the text used when a viewer adds your event to their calendar

3. Add speakers and set up sign-in

In the editor, use the Speakers panel to list your presenters, and the Audience Sign-in panel to set the disclaimer text viewers must agree to if sign-in is required. See Adding event content for details.

4. Set your content for each state

Work through the Pre-Event, During (Live), Post-Event, and On Demand panels to choose what viewers see at each stage — see Adding event content and Event States for the full picture.

5. Customise your branding

Switch to the Design tab of the editor to set your logo, colours, and font, or open the Style Editor for custom CSS. See Customising your event.

6. Preview and save

Use the desktop/mobile toggle above the preview to check how your event looks, then click Save Changes.

7. Set up viewer access

Back on the event page, open the Audience tab and decide whether viewers need to sign in to watch. See Managing viewer access.

8. Publish

On the event page, click Publish in the banner at the top and confirm. This makes your event live at its public URL — you can copy the link from the Details tab, or find it in your event list.

Your event is now published and ready for viewers. When it's showtime, work through the Event readiness checklist, then head to Running your event with the Director to go live and control the broadcast.
